Duties of Board Members 

                                                            Security Police Officers Association

 

President

Preside over all meetings

Shall rule on all questions of by-laws and law and order of meetings

Shall cosign and approve all authorizations to withdrawal funds and use of SPOA property or equipment

Shall hold meetings with management to endorse union agenda

Shall be responsible to ensure financial transactions are being recorded properly

Shall ensure delegated authority to other board members are being executed properly

Will be the final determiner of membership of rank and file

Shall ensure shift representatives are trained properly and have adequate resources

Shall decide who will attend affiliated training meetings or seminars

Shall be the point of contact for all media activities unless otherwise designated

Vice President

Shall assume duties of president in his/her absence

Has the authority to sign checks and monetary transactions in the absence of the treasurer

Shall be directly involved with Business Officer and Sergeant of Arms for coordination of duties

Shall maintain communication contact numbers for all affiliates and /or organizations having business with the union

Shall be responsible for health and safety issues regarding membership

Shall be responsible for all pay issues regarding membership

Shall coordinate morale building activities for membership

Shall be responsible for overseeing that supervisor conduct is consistent with union contractual obligations

Treasurer

Shall keep true and accurate records of all monetary transactions as treasurer

Shall adhere to all state and federal laws pertaining to the union

Shall receive all monies from membership dues

Shall receive all monies relating to outside collection of funds

Shall receive receipts and/or vouchers for all monetary transactions

Shall make all books and records available to membership on a quarterly basis

Shall submit a report, quarterly, on current spending since inception of any new president

On demand, shall make books and records available to outside requests within five business days; with approval of president

Shall report members in good standing to the president monthly

Shall be first authorizing signature on all checks or monetary transactions

Shall maintain a " Treasurer’s Binder" that records all transactions, stubs, bills, receipts, and related transactions for every calendar year

Business Officer

Shall coordinate occupation of meeting locations and production of flyers to inform membership

Shall coordinate all business travel to and from outside meeting places

When designated, shall be responsible for ordering and supplying office supplies for board

Secretary

Shall be responsible for distribution of newsletters and any related distribution material

Shall be responsible for maintaining minutes for all meetings

Shall maintain accurate and current by-laws

Shall record any documentation delegated by the president and vice president

Shall conduct an audit of and report on conditions of the "Index of Grievances", "Index of History" and "Index of Membership"; semi-annually

Sergeant of Arms

Shall be the point of contact for all voting procedures

Shall be responsible for organizing and collecting ballots for all votes

Shall be the point of contact for all surveys of membership

Shall ensure the collection and processing of survey information

Shall ensure that all attendees of union meetings and gatherings have justification to be present
